The Challenge
The government authority's examination operations required rapid coordination amongst several roles. Each group needed dedicated digital interfaces and logic:
High dependency on last-minute operational workflows
The authority frequently required new forms or modifications hours before the exam. The solution had to be flexible enough for same- day configuration, validation, and rollout.
Role-based data capture with zero mismatch tolerance
Supervisors needed to submit invigilator details. Invigilators needed to be mapped to specific centres. Inspecting officers needed to submit attendance reports across multiple sub-centres.
Any mismatch could disrupt examination operations.
Automatic centre 3 sub-centre 3 date mapping
All assigned dates, sessions, and candidate counts had to be fetched automatically from master datasets, without manual input.
Multi-officer coordination
A single centre could be assigned to multiple Inspecting Officers (IOs). If one IO submitted data for certain sub-centres, others needed to see that data pre-filled to avoid duplicates.
Auto-generation of operational subforms
Based on registered candidates, invigilator rows had to be automatically created using standardised ratios (such as 1 invigilator per 96 candidates). Similarly, IOs required auto- generated rows for every sub-centre under their jurisdiction.
Strong validation and accountability
Present counts could not exceed registered candidates. Incomplete sub-centre entries needed prompts. Wrong email-based access attempts needed to be restricted.
The system had to enforce accuracy across all operational stages.

For a high-stakes national examination, operational accuracy is critical. Even small inconsistencies 4 such as incorrect invigilator allocation, mismatched attendance, or missing sub-centre data 4 can create administrative delays and affect the integrity of the examination.
A unified automation system helped ensure:

Wisethink's Solution via Zoho Creator
Wisethink delivered a structured Zoho Creator application consisting of multiple interconnected forms, each designed to support a specific operational role.
1) Supervisor Form 3 Automated Invigilator Capture
Working in collaborative sessions with the authority's team, Wisethink configured a form that:
- auto-filled centre, sub-centre, supervisor name, exam dates, and candidate count
- dynamically generated invigilator rows based on the 96:1 requirement
- validated contact and credential details
- ensured consistency across all supervisor submissions
This setup eliminated manual tracking and standardised invigilator intake across all locations.
2) IO Forms (Two Variants) 3 Attendance and Centre-Level Reporting
For both Delhi and Non-Delhi regions, Wisethink designed specialised IO forms that:
- identified IO details via email authentication
- automatically fetched all assigned centres, dates, and sub-centres
- generated a row for each sub-centre
- allowed IOs to submit present/absent data
- auto-calculated absentees and daily totals
- prevented negative entries and mismatches
- displayed previously submitted data if multiple IOs were involved
This ensured real-time collaboration and eliminated duplicate entries across officers.
3) Invigilator & Supervisor Segregation Logic
A structured database was created to maintain mapped records of supervisors and invigilators. This segregation was later reused for:
- targeted feedback collection
- role-specific reporting
- region-wise validation
- improved monitoring of operational responsibilities
4) Rapid Iteration & Real-Time Adjustments
Many configurations 4 including new fields, validation rules, and mapping logic 4 were completed in live sessions with examination staff. This approach turned each session into a combined:
- build cycle
- validation checkpoint
- training opportunity
It enabled deployment even under extremely urgent timelines.
5) Supervisor & IO Feedback Forms
Using the previously segregated datasets, Wisethink implemented feedback workflows to capture:
- connectivity issues
- infrastructure readiness
- examination-day experience
- availability of basic facilities
- issues encountered at sub-centre locations
Data was then automatically linked back to the respective role and centre.
